Organize with tags

Tags are your own labels, just like in the Finder: a name and a color. You give them to customers, to documents such as invoices and quotes, and to receipts. That way you find again what belongs together.

Add tags

Select a customer, a document or a receipt and open the inspector. In the Tags section, type a name and press Return. While you type, Folnaro suggests the tags you already have. A new name creates the tag and gives it the next free color.

  • When you hover over a tag, its dot turns into a button that removes it.
  • Press Delete in the empty field to remove the last tag.
  • Press ⌘ Z to undo any change.

Tag many records at once

Select several rows in a list and choose Edit > Tags… or press ⌃ ⇧ ⌘ T. The window lists every tag with a checkbox. A dash in the checkbox means only part of the selection carries the tag. A click gives it to all of them or takes it from all of them. Folnaro writes nothing until you click Done, and one Undo takes the whole change back.

The context menu is quicker: Tags lists every tag. A checkmark shows that all selected rows carry it. A click switches it, just like in the Finder.

Search by tag

The search in Customers, Invoices, Quotes and Receipts also finds tag names. Type Follow up, for example, and the list shows everything with that tag. In wide windows the lists show their own Tags column. When it gets narrow, the colored dots stay and the name appears as a tooltip.

Manage tags

Folnaro > Settings… > Tags lists every tag with its color and the number of records that carry it.

  • Click the name to change it. Every record shows the new name right away.
  • Click the dot to change the color.
  • Drag a tag to change the order. Tags appear in this order everywhere.
  • Merge Into hands all records of one tag to another and removes the first. This helps when two Macs created the same tag.
  • Delete… tells you first how many records lose the tag. Only the tag is deleted, never a customer, a document or a receipt.

Tags and finalized documents

Tags are yours, they are not part of the record. That is why you can add them to a finalized or canceled invoice and take them off again. The document itself does not change: its number and its PDF stay as they are. Every change is listed in the history of the record. Tags never appear on an invoice, in an email to your customers or in an e-invoice.

Tags sync between your Macs through iCloud, and agents can read and assign them through MCP when you allow it in Settings.
